Job Summary:
The Coordinator – Special Flights & Charters will coordinate all special flights comprising of VVIP, VIP, and all types of charter flights, including full freighters, and ensure adequate preparation and communication.

Key Duties and Responsibilities:
• Identify and follow up on all ad-hoc requests for ground handling services and ensure all receive the immediate and appropriate response.
• Liaise with Ramp Services, Passenger services, or Dispatch for appropriate answers to clients when necessary.
• Coordinate with other required Service providers like hotels, Fuellers, Caterers, and CAA (Marshalls, Permits office, and VIP) and make appropriate decisions when necessary.
• Follow up flight handling reports, customer complaints and extraordinary requests to ensure customer satisfaction and experience.
• Attend client meetings and VIP meetings organized by CAA and any other stakeholders.
• Compile and update an appropriate list of VIP/ charter clients with complete /accurate addresses and references for billing purposes. Liaise monthly with finance for financial credibility of invoice clients.
• Ensure invoices are raised promptly, accurately, and correctly to ensure smooth transactions and follow-up.
• Compile a monthly did fly/ sales returns and forward to the finance department and all related charter statistics.
• Supervise and guide the special flights’ team. Initiate disciplinary action when necessary for correction measures whilst liaising with the HR Department.
• Perform flight planning, messaging, and other load control activities with the team assigned where necessary.
• Control and safeguard company assets allocated to the special flights’ team office.
• Any other duties assigned from time to time.

Key Working Relationships:
Internal: Ramp, Operations, Commercial, Finance, Cargo, Passenger handling staff.
External: UCAA, Airline Officials, URA, Immigration, Ground Handlers, Safety and Security organs at the Airport, Fullers, Catering Company, and Hotels.


Qualifications, Skills, and Competencies
• A Bachelor’s degree in a relevant discipline from a recognized university/Institution.
• 5 years experience in a supervisory position, preferably in Airport operations.
• Ability to cope with pressure and should be flexible, full of initiative, and assertive.
• Experience in Aviation security, dangerous goods, and safety management systems.
• Demonstrable experience in planning, marketing, negotiation, and customer care.
• Load control knowledge will be an added advantage.
• The applicant should have worked in a charter section with experience in Airline or handling operations.
