Job title: Administration Coordinator
Location: Kampala, Uganda. Mobilized to Albert Lake, construction sites or other cities if required.
Primary function
Responsible for efficient expatriate staff welfare coordination, fleet management and safe Domestic hotel Management.

Responsibilities
• Coordinate expatriate staff and families' welfare arrangements including housing, transport, etc.
• Maintain and manage company fleet records, logs and reports
• Responsible for domestic business travel arrangement bookings for hotels, transportation, etc.)
• Supervise drivers to ensure they properly complete their assignments, adequately maintain their vehicles, understand and practice safe driving techniques, regulated by traffic rules and prepare training plans
• Responsible for company corporate rates for hotels in areas of operation.
• Arrange for the routine emergency transport of personnel in timely manner by assigning and dispatching drivers and vehicles upon verification of required documentation.
• Manage contracts with vendors; maintain records regarding vehicle mileage, fuel consumption, driver performance, driver overtime, and process and review vehicle rental invoices, driver timesheets, and driver travel expense statements.
• Organize maintenance of vehicle as scheduled and as in emergency. Arrange proper backup planning during maintenance and repair.
• Prepare, update and monitor related budgets.
• Manage driver meals and accommodation.
• Update related company standards as required.
• Perform regular and spot check for safety compliance according to QHSE rules and regulations.
• Support company VIP delegation reception activities.
• Perform other duties as required by superior.


Requirements
• Bachelor's Degree or above in Business management or related
• At least 3 years related working experience. Knowledge
• Computer literacy using various software and databases.
• Knowledge of fleet management desirable.
• Understanding of oil E&P.
